Position Overview:
Heshima
Kenya is a non-profit organization based in Nairobi, Kenya dedicated to
identifying, protecting and empowering unaccompanied refugee children
and youth, especially adolescent girls, through our specialized shelter,
education and advocacy programs. Working closely with the Country
Director and program management team, the Finance and Administration
Manager is responsible for ensuring effective and timely finance
reporting, ensuring budgetary control and; overall compliance with US
and Kenyan Government laws and donor requirements. The position holder
reports directly to the Country Director and receives daily support from
the Senior Program Manager. He/ She will oversee the administrative and
finance team and provide oversight to Heshima Kenya’s bookkeeper based
in Chicago.
Primary Responsibilities: 1.
Responsible for developing and implementing financial and administrative
procedures such as: payroll, bookkeeping, insurance, budget and cost
control, personnel policies, accounting functions, procurement
procedures, contracts, inventory management and control procedures,
security of facilities, financial reporting, strategic planning, as well
as obtaining appropriate financing.
2. Develops and regularly updates budgeting methodology.

Consolidates budgets on a quarterly basis or more often as needed for
submission to Country Director for review. 4. Oversees donor
requirements and communicates any budget variance and needs with the
Country Director and to donors upon approval from the Country Director.
5. Prepares financial and narrative Board reports and represents Heshima Kenya’s financial status
during
Board meetings and financial Committee meetings; recommending areas of
improvement and/or cost-cutting. 6. Monitors actual programmatic costs
and recoveries versus budgeted costs and recoveries, and prepares
monthly reports for submission to the Country Director.
7. Ensures that taxes and other statutory payments are made in a timely manner to all Government agencies and vendors.
8.Holds
regular meetings with US-based team and Country Director to analyze
monthly and quarterly cash flow, expense projections, and ensure that
accounting standards are followed; provide guidance where necessary.
9.Works closely with the Country Director and program managers to develop the annual operating budget.
10.Oversees
inventory management of the Maisha Collective and ensures that proper
accounting policies and procedures are in place.
11. Tracks all Maisha sales and ensures proper record keeping within the US and Kenya Quick Book files.
12. Prepares monthly budget, donor, and sales reports and analyzes variance and income needs.
13. Oversees audit preparation and communication.
Qualifications:
1. Be a Kenyan citizen.
2. MBA in Business or Finance preferred; Certified Public Accountant (CPA-III).
3. 2-3 years experience in accounting in a senior level position.
4. Knowledge of accounting and especially on inventory management within a manufacturing concern.
5. Strong knowledge of international and US accounting standards; background in OMB and GAAP accounting standards a plus.
6. Proficient in MS Office and with strong knowledge of QuickBooks.
7. Knowledge of Kenyan laws on all statutory deductions and tax compliance issues. 8. Must have a Certificate of Good Conduct.
