Position Description: Heshima Kenya (HK) is a non-profit organization headquartered in the US, with
NGO status and operations in Nairobi, Kenya. HK is dedicated to identifying, protecting and empowering unaccompanied refugee minors, especially adolescent girls, through our specialized shelter, education and advocacy programs. HK’s funding is primarily from the US from private donors, family foundations, with larger funding from the US Department of State, while receiving minimal private donations from Kenya. This individual reports directly to the Finance and Administration Manager for Kenyan Operations.

Primary Responsibilities:

 1. Prepare and maintain relevant books of accounts.
 2. Prepare monthly reconciliation of bank statements. 3. Send monthly ledger statement, QuickBooks (QB) file and general queries to the Finance and Administration Manager by the 5th of every month.
 4. Processing payroll and submit monthly tax filings to KRA, NSSF, and NHIF by expected due dates. 5. Manage the office petty cash.
 6. Ensure payment requests are properly supported and are in accordance with relevant financial rules, regulations and procedures with adequate Budget Provisions.
7. Process for the signature of the authorized officers, the relevant documentations to effect payment while ensuring accuracy and completeness of the processed transactions. 8. Maintain relevant hard and electronic records and files related to the finance function.
 9. Acknowledge, bank and account for receipts.
 10. Participate in the preparation of both monthly and other regular financial reports.
11. Serve as a member of the procurement team.
12. Support annual field audit preparation.
13. Track all Maisha inventory, sales and ensure that these are entered in the Maisha QB file.
14. Ensure that the control systems within the Maisha production unit are adhered to and that all recording procedures are being adhered to.
 15. Perform any other duties as assigned by management.

Qualifications:

1. A degree in Finance/Accounting and CPA II.
2. Proficiency in QuickBooks.
3. Knowledge and experience with NGO accounting legal requirements, guidelines, fiscal responsibility, and reporting in Kenya with specialty in NGO guidelines and compliance.
4. Proficient in Microsoft Office, including intermediate skill level in Excel.
5. Excellent inter-personal skills, can work independently and with teams.
 6. Must have high organizational skills.
 7. Knowledge and experience with US government accounting requirements, guidelines, fiscal responsibility and reporting standards.
8. Knowledge in management of a production workshop very desirable.
 9. Good attention to detail.
